Updates on access, furniture, maintenance requests and more available for Samson Pavilion

Updates have been made to operations at the Samson Pavilion. Review the following information as we begin the new academic year.

Access

The building will be card access only until further notice. This is in line with the operations plan for all buildings across campus. To gain access, wave your ID card by the card reader.

Furniture

Do not move any furniture in the building. The furniture has been placed to follow physical distancing guidelines. If a table has only one chair, do not pull another chair up to that table or move tables closer together.

Designated eating areas

Food can be consumed in designated dining areas only. There is to be no food consumption in classrooms. When in Samson Pavilion, the designated eating areas are the courtyard, fourth-floor student commons—kitchenette areas only (for students)—and the faculty/staff lounge (faculty/staff only). You also may eat outside as long as physical distancing guidelines are maintained. Faculty/staff also may eat when alone in a designated workspace/office.

Maintenance requests

As a reminder, maintenance requests or facilities emergencies are handled by CBRE, the management company for the building. You can call in a work order or use their online system. Get information on how to submit a work order. Due to tracking purposes, it’s important to use the phone number listed rather than calling the CBRE staff directly.

Student reservations

In an effort to ensure equitable use of space, the following guidelines regarding student reservation of space have been established.

Students can reserve rooms:

  • for a maximum of three hours per room; and
  • up to two weeks in advance.

Requests can be submitted via the room scheduling system and must be submitted by noon two business days in advance. Log-in requires a CWRU network ID. Any requests that fall outside of these guidelines can be emailed to hec-rooms@case.edu.

To reserve a space:

  1. Log in to the room scheduling system using your CWRU network ID and associated password.
  2. Select the “Create a Reservation” link in the navigation bar.
  3. Select the “Book Now” button next to the appropriate reservation template.
    1. Students should choose Samson Pavilion (HEC) Student Request.
    2. Faculty and staff should choose Samson Pavilion (HEC) Faculty/Staff Request.
  4. Enter the date/time of the request and select the search button.
  5. Click plus-sign next to the room of choice.
  6. In the pop-up window, enter the number of attendees and room set-up type (if available) and select the “Add Room” button.
  7. Select the “Next Step” button at the top of the screen.
  8. Enter AV or catering information, as necessary, and follow the prompts to enter the information. Select the “Next Step” button at the top of the screen.
  9. Enter event details, as necessary, and select the green “Create Reservation” button at the bottom of the screen.
