Staff members must use extra vacation days, floating holiday and hybrid flex days by June 30

University staff members are reminded they can carry over as much vacation as they accrue in one year (i.e., an employee earning 128 hours per year—or 16 days—can carry over 128 hours). Any balance of hours over the yearly accrual amount must be used by June 30 or it will be lost.

By the numbers: The number of vacation hours earned per month is based on an employee’s salary grade, number of hours worked per week and length of service. View the Calculating Vacation Days chart on the Human Resources Vacation Policy page for information on how much time an employee earns per year.

Staff are reminded they receive one floating holiday per fiscal year that also must be used by June 30. If unused, the floating holiday will not roll over to the following year. New staff members are eligible to use their floating holiday upon completion of their orientation period.

Vacation balances are located in HCM behind the Exception Timesheet Entry tile. Any employee who needs further assistance calculating their vacation balance should contact the Department of Human Resources at AskHR@case.edu.
Staff can determine if they have used their floating holiday by: 

Logging into HCM;

  • Clicking on Time Entry History;
  • Locating the “Float Hol” in the TRC dropdown;
  • Entering the dates 7/1/2023 and 6/30/2024; and
  • If the results do not show use of the floating holiday, then it is still available to use before June 30, 2024

Staff who were eligible for flex days in lieu of a hybrid work schedule must also use their flex time by June 30. This was only offered to staff employees in positions of salary grade 17 and below. Any employee inquiring about their flex day balance must reach out to their supervisor.
