Accounts Payable and Information Technology Services have partnered to give the university an enterprise-wide electronic document-management solution using OnBase, software distributed by local corporation Hyland Software Inc.
The solution will allow for the scanning, storage and retrieval of invoices. It also uses an automated workflow process that routes invoices for approval to the appropriate individuals, which eliminates delays often experienced with paper routing.
The human resources and enrollment management departments have used OnBase for some time. ITS proposed the idea of transitioning the management of OnBase to ITS so the system could be centrally supported. The three business units agreed, which gave ITS the opportunity to reconfigure the system for enterprise-wide scalability, availability and security.
A centrally managed, enterprise-wide document-management solution creates the potential for significant cost savings across the university by alleviating costs associated with printing, storage and clerical resources. It also helps the university reach significant goals, including compliance with records retention and disposal policies, ease of access to data, and creation of a consistent electronic document-management methodology.
Additional department-based rollouts are expected in the near future.
