University Technology ([U]Tech) continues to assist with the migration of Case Western Reserve University’s mailing lists to meet the university’s needs and ensure that the new platform is integrated with popular CWRU Google Apps such as Gmail, Calendar and Drive. It is critical that the university use a mailing list system that is modern and reliable.
By April 30, students and faculty must complete the transition to Google Groups. By May 31, all CWRU staff members must complete the migration.
[U]Tech developed a self-service migration tool that allows members of the university community to migrate mailing lists to Google Groups easily. The automated tool ensures that all common settings of the Sympa list are matched in Google Groups.
To verify that a mailing list qualifies for migration, review the Pre-Migration Checklist at case.edu/utech/google/groups/pre-migration-checklist. For step-by-step instructions, a link to the Google Groups migration tool and a link to the Post-Migration Checklist, visit case.edu/utech/google/groups/migrate. Any list owner or moderator can migrate a list; therefore list administrators should coordinate to avoid confusion.
[U]Tech engineers also developed a “Bulk Add” tool, available at its-services.case.edu/googlegroups/external.html, to assist users with creating new Google Groups for a large number of people. This tool also can be used to update existing Google Groups. Instead of adding people one at a time, Bulk Add provides instruction on how to easily add groups of individuals at one time. The [U]Tech team is working to increase the speed of how quickly these lists can be generated.
[U]Tech will host an open house training session for members of the Case Western Reserve University community to learn more about using Google Groups and the Sympa list migration process Wednesday, April 5, from 9:30 to 11 a.m. in Nord Hall, Room 212. This is the second to last training session before the scheduled deadlines for decommissioning Sympa.
In addition, training resources for Google Groups are available at case.edu/utech/google/groups/training. For further assistance with Google Groups or the migration process, contact the [U]Tech Service Desk at 216.368.HELP (4357) or help@case.edu.
